Privacy Policy

Last updated: November 5, 2025

Look, we get it - nobody really enjoys reading these things. But honestly, your privacy matters to us up here in the frozen North. We're not about selling your info or being shady with your data. This page'll walk you through how we handle your information when you book a stay or adventure with us.

When you're booking a room or signing up for one of our adventures, we'll need some basics from you. Nothing crazy, just the usual stuff to make sure your stay goes smoothly.

  • Personal Details: Your name, email, phone number, and mailing address. Pretty standard stuff for any reservation.
  • Payment Info: Credit card details and billing info when you're booking with us. We use secure payment processors - we're not storing your card numbers on some random spreadsheet.
  • Stay Preferences: Things like dietary restrictions, room preferences, or if you need special accommodations. Helps us make your experience better.
  • Communication Records: Emails, calls, or messages you send us. Sometimes we need to reference back to what was discussed, y'know?
  • Website Activity: IP addresses, browser type, pages you visit - the usual digital footprint stuff. Helps us improve the site.

We're not doing anything weird with your data, promise. Here's what we actually do with it:

  • Processing Reservations: Confirming your bookings, managing your stay, arranging those dog sledding tours you're excited about.
  • Communication: Sending confirmations, updates about your reservation, maybe a reminder about that Northern Lights tour you booked.
  • Service Improvement: Understanding what guests love (and what needs work) so we can keep getting better.
  • Legal Stuff: Meeting Canadian privacy laws and keeping records we're legally required to maintain.
  • Marketing (with permission): If you've opted in, we might send you info about special offers or new adventures. You can unsubscribe anytime - no hard feelings.
  • Safety & Security: Protecting against fraud, ensuring guest safety during wilderness activities, that sort of thing.

We're pretty protective of your info, but there are a few situations where we'll share it:

  • Service Providers: Payment processors, booking platforms, our spa suppliers - folks who help us run the place. They're contractually bound to keep your info secure.
  • Adventure Partners: If you're booking a dog sledding trip or ice fishing expedition, we'll share necessary details with those operators. They need to know who's showing up, right?
  • Legal Requirements: If the law says we gotta hand over information, we will. Court orders, government requests - we'll comply when we're legally obligated.
  • Business Transfers: In the unlikely event we sell the lodge or merge with another company, your info might be part of that transfer. You'd be notified, though.
  • Emergency Situations: If there's a health or safety emergency during your stay, we'll share what's needed with medical or emergency services.

We don't sell your personal information to third parties. That's not how we roll.

Yeah, we use cookies. Not the chocolate chip kind (though our restaurant makes great ones). These are small files that help our website work better.

  • Essential Cookies: Keep the site functioning - remembering your booking as you move through pages, that kind of thing.
  • Analytics Cookies: Tell us which pages people visit most, how long they stick around, where things might be confusing.
  • Preference Cookies: Remember your language preference or other site settings.
  • Marketing Cookies: Track if you came from an ad or partner site. Helps us figure out what marketing actually works.

You can disable cookies in your browser settings, but heads up - some parts of the site might not work as smoothly.

We take security seriously up here. Your information's protected with industry-standard measures:

  • Encryption: Payment info and sensitive data get encrypted both in transit and at rest.
  • Secure Servers: Our systems are regularly updated and monitored for vulnerabilities.
  • Access Controls: Only staff who actually need access to your info can see it. Not everyone in the building can peek at guest data.
  • Regular Audits: We review our security practices and update them as needed.

That said, no system's 100% foolproof. We do our best, but internet transmission always carries some risk. If there's ever a breach affecting your data, we'll let you know ASAP.

Under Canadian privacy laws (PIPEDA specifically), you've got rights when it comes to your personal info:

  • Access: You can ask to see what information we've got on file about you.
  • Correction: If something's wrong or outdated, let us know and we'll fix it.
  • Deletion: Want your data removed? We can do that in most cases (though we might need to keep some stuff for legal reasons).
  • Withdrawal of Consent: Change your mind about marketing emails? Just opt out. Easy.
  • Portability: Need your data in a format you can use elsewhere? We can arrange that.
  • Complaint: If you think we've mishandled your info, you can file a complaint with us or with the Privacy Commissioner of Canada.

To exercise any of these rights, just shoot us an email at reservations@frostbaneodyssey.info or give us a call.

We don't hang onto your information forever. Here's generally how long we keep things:

  • Booking Info: Kept for 7 years after your stay (Canadian tax law requirement - not our choice, honestly).
  • Marketing Data: Until you unsubscribe or ask us to delete it.
  • Website Analytics: Usually aggregated and anonymized after 26 months.
  • Communication Records: Generally 3-5 years, depending on the nature of the communication.

Once we don't need your data anymore, it's securely deleted or anonymized. We're not data hoarders.

Our website isn't designed for kids under 13, and we don't knowingly collect their information. If you're booking for a family stay, we'll collect info about children only as necessary for the reservation (like ages for activity suitability).

If we discover we've accidentally collected personal info from a child under 13, we'll delete it promptly. Parents or guardians, if you're concerned about this, reach out to us.

Sometimes our website links to other sites - maybe a partner tour operator or local attraction. Once you click those links, you're on their turf, and their privacy policies apply.

We try to partner with reputable folks, but we can't control what they do with your info. Worth reading their privacy policies too if you're concerned.

Privacy laws evolve, our business changes, and we might need to update this policy from time to time. When we do, we'll update the "Last Updated" date at the top of this page.

For major changes, we'll try to notify you directly - probably via email if we've got your contact info. But it's also worth checking back here occasionally, especially if it's been a while since your last stay.

Got questions about this privacy policy? Concerns about how we're handling your data? Just want to chat about it? We're here.
